Job Description

We’re looking for an incredibly organized, very positive and upbeat person to have an opportunity to learn a successful business from the inside. MeritCard is built on its work atmosphere, so work environment is as good as it gets. This position is ideal for the recent or soon to be college graduate who is willing to learn fast and work directly for an executive team made up of the Chief Compliance, Operating, and Financial Officers.

Executive Assistant Job Description:

Support partners and executives by performing a wide variety of tasks to enhance communication, effectiveness, and productivity.

Education requirements and skills
  • Bachelors' Degree
  • Proficient in Microsoft Office and Outlook

  • Refined judgment, decision-making ability, and discretion
  • Exceptionally organized and attentive to detail
  • Polished communication skills and demeanor
Responsibilities
  • Meeting Coordination
    • Schedule initial and follow up meetings (if applicable)
    • Require/Create agenda
    • Require/Create summary and disseminate information throughout the company when applicable
  • Office Management
    • Schedule office cleaning and trash pickup, and keep kitchen areas clean and organized between cleanings
    • Stock with office supplies, food, phones and computers, furniture, etc.
    • Schedule and plan birthday celebrations, condolence cards/flowers, holiday parties, office happy hours, client dinners, etc
    • Gather photos, articles, updates, etc.
    • Manage AC/heating schedules
    • Coordinate with landlord for any maintenance or service requirements
    • Manage/update phonebook and IVR system to reflect current employees
    • All miscellaneous needs or issues that arise related to office operation
  • Clients and other visitors
    • Make sure the office is presentable, determine if "dress up day" is required, inform employees, inform partners, etc.
    • Welcome with drinks and conversation
    • Set up any presentations
    • Give directions on the way out the door
    • Be available to attend or drive to and from dinners
  • Projects
    • Redesign Conference areas considering comfort, functionality, appearance, and budget
    • Complete with competency any projects assigned to you by CFO, COO, and CCO
    • Print/scan/organize documents for partners/executive and disseminate to all necessary parties
    • Write or edit mass correspondences to inform clients about holiday hours, system updates, new products etc.
  • Personal/Administrative Assistance
    • Keep schedules
    • Manage Outlook calendars
  • Book all travel arrangements
    • Organize travel agendas for employees with hotel and flight information, directions, meeting arrangements, etc.
    • Drive MeritCard employees or clients to and from the airport, hotels, etc.
    • Run errands around town (dropping off documents or mail, picking up lunches, remedying unplanned supply shortages, etc.)
    • Take/deliver phone calls or messages for partners
